Workflow Automation

We connect the apps you already use so leads, approvals, invoices, and notifications move on their own instead of by copy and paste.

Every growing business ends up with the same hidden job: moving information from one place to another. A lead fills in a website form, someone copies it into the CRM, someone else sends a welcome email, and later another person retypes the same details into an invoice. Each step is small, but together they cost hours every week, cause delays, and create mistakes that customers notice.

Workflow automation removes that copying and chasing. We connect your website, inbox, CRM, accounting software, file storage, and messaging apps so that when something happens in one system, the next steps happen automatically. A new enquiry can create a CRM contact, notify the right salesperson on WhatsApp or Microsoft Teams, and schedule a follow-up task. A signed quote can turn into an invoice in Xero or QuickBooks and a project folder in Google Drive or SharePoint. An expense request can go to a manager for approval and be logged once it is signed off.

We build these workflows with proven platforms such as Zapier, Make, n8n, and Microsoft Power Automate, and with the automation features already built into tools like HubSpot, Google Workspace, and Microsoft 365. We pick the platform that suits your software, budget, and data needs, document everything we build, and keep an eye on it after launch so problems are caught before they pile up. Monitoring runs continuously and raises alerts for our team, and support hours and response times are set out in your service agreement.

In short

How does workflow automation work for a small business?

Workflow automation connects the apps a business already uses so information moves between them without copy and paste. When something happens in one system, the next steps run automatically: a new lead creates a CRM contact and alerts a salesperson, or a signed quote becomes an invoice. TechPit Solutions builds these workflows with Zapier, Make, n8n, and Microsoft Power Automate.

  • Best for small and medium businesses where staff retype the same details into forms, spreadsheets, CRMs, and invoices every day.
  • Built remotely after a free consultation and process mapping, then tested with sample data, documented in plain English, and monitored after launch.

Who this is for

  • Small and medium businesses where staff copy the same information between forms, spreadsheets, CRMs, and invoices every day
  • Service companies that need new leads routed and followed up quickly, even outside office hours
  • Teams with approval steps, such as quotes, purchase orders, time off, or expenses, that currently rely on email chains and reminders
  • Owners who already pay for HubSpot, Microsoft 365, Google Workspace, Xero, or QuickBooks but use only a fraction of what those tools can do
  • Businesses that tried building a Zap or flow themselves and now have fragile automations nobody fully understands

Problems we fix

  • Leads sit in an inbox or form tool for hours before anyone responds, and some are never followed up at all
  • The same customer details are typed into three or four systems, so records drift out of sync and errors creep in
  • Approvals stall because the request is buried in someone's email and there is no clear record of who signed off
  • Invoices go out late because the finance team has to wait for job details to be passed along by hand
  • Existing automations break silently when a field or password changes, and nobody notices until a customer complains

What's included

What our Workflow Automation service includes

  • Process mapping and automation plan

We walk through your current processes with the people who do the work, map each step and handoff, and identify where automation saves the most time. You receive a prioritised plan showing which workflows to build first, which platform to use, and what each one will do.

  • Lead capture to CRM workflows

Website forms, landing pages, Facebook lead ads, and email enquiries flow straight into your CRM with the right owner, tags, and source recorded. The assigned person gets an instant alert by email, Slack, Teams, or WhatsApp, and follow-up tasks or sequences start automatically.

  • Quote, invoice, and payment automations

When a deal is marked won or a job is completed, we can generate the invoice in Xero or QuickBooks, email it to the customer, record the payment when it arrives, and update the CRM. Overdue invoices can trigger polite reminders on a schedule you control.

  • Approval workflows

Purchase requests, expense claims, discounts, time off, and document sign-offs are routed to the right approver with one-click approve or reject options. Every decision is logged with a timestamp, and the requester is notified the moment it is approved.

  • Notifications, reports, and document handling

We set up the alerts your team actually needs, scheduled summary reports, automatic file naming and filing in Google Drive, OneDrive, or SharePoint, and document generation from templates for contracts, onboarding packs, and job sheets.

  • Documentation, monitoring, and handover

Every workflow comes with plain-English documentation describing what triggers it, what it does, and who owns it. We add error alerts and logging so failures are caught quickly, and we train your team to make simple changes themselves.

Benefits

Why it's worth doing properly

  • Faster response to customers

New enquiries reach the right person within moments of arriving, with the details already in the CRM, so your team can respond while the customer is still interested rather than hours later.

  • Fewer manual errors

Information is entered once and passed along automatically, which removes the typos, missing fields, and mismatched records that come from retyping the same details into several systems.

  • Clear visibility and accountability

Approvals, handoffs, and status changes are logged, so you can see where a request is, who owns it, and what happened, without digging through email threads.

  • Growth without the same growth in admin

Once a process is automated, handling more leads, orders, or jobs does not mean adding the same amount of admin work, so your team can take on more without being buried in data entry.

Process

How the work runs

  1. STEP 01

    Assess your current processes

We review the apps you use, interview the people doing the work, and map how information moves today. Together we agree which processes cost the most time or cause the most errors, and we check what each system can connect to.

  2. STEP 02

    Design the workflows

We choose the right platform, sketch each workflow step by step, define triggers, conditions, and exceptions, and confirm the plan with you before building, so there are no surprises about what will happen and when.

  3. STEP 03

    Implement and test

We build the workflows, connect accounts with appropriate permissions, and test them with real sample data, including edge cases such as duplicates, missing fields, and failed payments, before switching them on for live use.

  4. STEP 04

    Monitor and improve

After launch we watch run history and error alerts, fix issues quickly, and adjust the workflows as your business changes. When the first workflows are stable, we help you plan the next ones.

FAQ

Workflow Automation: common questions

What kinds of tasks can be automated?

Any task that follows a predictable pattern is a good candidate. Common examples include sending new website leads into a CRM and alerting the salesperson, creating invoices when a deal closes, chasing unpaid invoices, routing purchase or time-off requests for approval, filing email attachments into the right folder, onboarding new customers or staff, and sending daily or weekly summary reports. If someone on your team does it the same way every time, it can usually be automated.

Should we use Zapier, Make, n8n, or Power Automate?

Each has strengths. Zapier is simple and connects to a huge number of apps. Make handles more complex, multi-branch logic at a lower running cost for many workloads. n8n can be self-hosted, which suits businesses with stricter data needs. Power Automate fits naturally if you run on Microsoft 365. We recommend a platform based on your existing software, the complexity of your processes, and expected volume.

Do we need to change the software we already use?

Usually not. The goal is to make your current tools work together, not to replace them. Most popular business apps, including HubSpot, Pipedrive, Salesforce, Xero, QuickBooks, Google Workspace, Microsoft 365, Shopify, and many form and booking tools, have integrations or APIs we can work with. If a tool cannot be connected at all, we will tell you early and suggest options.

What happens if an automation breaks?

Automations can fail when a password changes, an app updates, or unexpected data arrives. We build in error handling and alerts so failures are flagged instead of disappearing silently. With ongoing support, workflow monitoring runs continuously and raises alerts for our team, and every request is logged, tracked and owned by a named person. Every workflow is documented, so the fix is quick and does not depend on one person's memory.

Can you automate WhatsApp and email notifications?

Yes. We can send automatic emails through Gmail, Outlook, or tools like Mailchimp and HubSpot, and messages through Slack, Microsoft Teams, or the official WhatsApp Business Platform. WhatsApp business messaging has its own rules around templates and customer opt-in, so we set that up correctly to keep your account in good standing and your messages compliant with the platform's policies.

How much does workflow automation cost?

Cost depends on the number of workflows, how many apps are involved, how complex the logic is, and whether you need ongoing monitoring afterward. Subscription fees for the automation platform and connected apps are separate and vary with how many tasks run each month.
