Online Booking & Appointment Reminders

Every missed appointment is time you cannot get back. Often the customer did not mean to skip it: they forgot, the time stopped working, or rescheduling meant phoning during office hours. At the same time, staff spend hours booking appointments by phone and email, then ringing people the day before to confirm.

We set up online booking that shows customers your real availability and lets them pick a slot in a few taps, from your website, Google Business Profile, social pages, or a link in an email. Each booking lands in the right staff calendar, with buffers, working hours, and service lengths respected, and the customer gets an instant confirmation.

Then the reminders take over. Customers receive SMS and email reminders at the times you choose, with a simple link to confirm, reschedule, or cancel. Freed-up slots open again for someone else, and your team sees who has confirmed. After the appointment, the same system can send a thank-you, a review request, or a rebooking prompt.

In short

How do online booking and appointment reminders work?

Online booking shows customers a business's real availability so they can pick a slot from the website, Google Business Profile, or a link, and the booking lands in the right staff calendar. Automatic SMS and email reminders go out at chosen times with a link to confirm, reschedule, or cancel. TechPit Solutions configures tools such as Calendly, Cal.com, or Acuity and syncs them with Google Calendar or Outlook.

  • Best for clinics, salons, consultants, trades, and other appointment-based businesses losing time to no-shows and phone scheduling.
  • Set up remotely after a free consultation; we configure the booking tool, calendar sync, and messages, then run test bookings end to end.

Who this is for

  • Clinics, dentists, salons, spas, and therapists that run on appointments
  • Consultants, accountants, and law firms booking calls and meetings
  • Trades and home service businesses scheduling site visits and quotes
  • Fitness studios, tutors, and coaches with recurring sessions
  • Any business losing time and revenue to no-shows and late cancellations

Problems we fix

  • Customers forget appointments and slots go to waste
  • Staff spend hours on the phone booking, confirming, and rescheduling
  • Customers can only book during office hours, so some book elsewhere
  • Bookings in one place do not show up in staff calendars, leading to double bookings
  • Cancelled slots stay empty because nobody knows they are free

What's included

What our Booking & Reminders service includes

  • Booking system setup

We choose and configure a booking tool such as Calendly, Cal.com, Acuity, Square Appointments, or GoHighLevel calendars, with your services, durations, staff, locations, and rules.

  • Calendar sync

Bookings sync two ways with Google Calendar or Outlook so staff see appointments where they already work, and personal busy times block booking slots.

  • Confirmations and reminders

We set up branded SMS and email confirmations and reminders on a schedule you choose, with clear details on time, location, preparation, and what to bring.

  • Reschedule and cancel links

Each message includes a self-service link so customers can move or cancel their appointment, with rules on notice periods and freed slots reopening automatically.

  • Booking everywhere customers look

We add booking to your website, Google Business Profile, social profiles, and email signature, and connect it to your chatbot or AI receptionist if you have one.

  • Follow-up and reporting

We add post-appointment messages such as thank-yous, review requests, and rebooking prompts, and simple reports on bookings, cancellations, and no-shows.

Benefits

Why it's worth doing properly

  • Fewer no-shows

Timely reminders and easy rescheduling help customers keep their appointments or free the slot early enough for someone else.

  • Less phone and email admin

Customers book, confirm, and reschedule themselves, so staff are not tied up on routine scheduling calls.

  • Bookings at any hour

Customers can book at night or on weekends, when many of them are actually planning their week.

  • One accurate calendar

Every booking appears in the right calendar in real time, which stops double bookings and gaps nobody noticed.

FAQ

Booking & Reminders: common questions

Which booking tool should we use?

It depends on your business. Calendly and Cal.com suit meetings and consultations. Acuity and Square Appointments suit clinics, salons, and studios with services, staff, and payments. GoHighLevel suits businesses that want booking inside their CRM and marketing system. Microsoft Bookings fits teams on Microsoft 365. If you already use practice or job management software with booking built in, we may configure that instead.

When should reminders be sent?

A common pattern is a confirmation straight away, a reminder a day or two before, and a short reminder a few hours before. The right schedule depends on your appointments and customers. We start with a sensible default and adjust it based on how your customers respond.

Can customers reschedule without calling us?

Yes. Every confirmation and reminder can include a link to reschedule or cancel, within rules you set, such as a minimum notice period. The calendar updates automatically, the freed slot reopens, and your team is notified.

Can we take deposits or payments when booking?

Many booking tools support deposits or full payment at booking through Stripe, Square, or PayPal. That can discourage no-shows for high-value appointments. We set it up where it suits your business and explain the effect on customers before switching it on.

Are there rules about sending SMS reminders?

Yes, SMS rules vary by country, and in the US business texting usually requires A2P 10DLC registration. We handle the technical setup, such as consent capture, sender registration, and opt-out handling, and your advisor confirms the rules that apply to your messages.

How much does a booking and reminder setup cost?

Cost depends on the number of services, staff, and locations, the booking tool, message schedules, and integrations with your CRM or website. Booking software and SMS fees are separate. Book a free consultation and we will give you a clear quote.
