Business Email & DNS Deliverability

If customers say your emails went to spam, or invoices and quotes are never seen, the cause is often in your domain's DNS records rather than the message itself. Mail providers check whether an email really came from your domain before deciding where to put it. Missing or broken SPF, DKIM, and DMARC records make your mail look suspicious, and they also make it easier for criminals to send fake emails in your name.

We set up and fix all of it. For new businesses, that means business email on Microsoft 365 or Google Workspace with the correct MX records, mailboxes, aliases, and shared inboxes. For existing setups, we audit every service that sends email for you, such as your mailbox provider, CRM, newsletter tool, website, helpdesk, and invoicing software, and make sure each one is authenticated correctly.

Google and Yahoo now require bulk senders to authenticate their mail, publish a DMARC policy, support easy unsubscribe, and keep spam complaints low. We bring your setup in line with those rules, then move DMARC from monitoring toward enforcement step by step, reading the reports along the way so legitimate mail is not blocked. Where it makes sense, we can also set up BIMI so your logo appears next to your emails in supporting inboxes.

In short

Why do business emails go to spam, and what are SPF, DKIM, and DMARC?

Business emails often go to spam because the SPF, DKIM, and DMARC records on the sending domain are missing or broken. These DNS records let mail providers check whether an email really came from that domain. TechPit Solutions sets up business email on Microsoft 365 or Google Workspace, audits every service that sends mail for the domain, fixes authentication, and moves DMARC from monitoring toward enforcement step by step.

  • Best for businesses whose emails, quotes, or invoices land in spam, and new businesses setting up email on their own domain.
  • Handled remotely after a free consultation and a sender and DNS audit, with DNS changes verified by test messages and DMARC tightened in stages.

Who this is for

  • Businesses whose emails, quotes, or invoices are landing in customers' spam folders
  • New businesses setting up professional email on their own domain
  • Companies sending marketing or bulk email that need to meet Google and Yahoo sender rules
  • Organizations that have had their domain spoofed in phishing emails
  • Teams that have added CRMs and email tools over the years without checking DNS

Problems we fix

  • Important emails go to spam or are silently rejected
  • Several tools send email for your domain, but only some are authenticated
  • SPF records are broken because of too many lookups or duplicate records
  • There is no DMARC policy, or it was set to reject without checking and now real mail is blocked
  • Nobody reads DMARC reports, so spoofing and misconfigured senders go unnoticed

What's included

What our Email & DNS Deliverability service includes

  • Business email setup

We set up Microsoft 365 or Google Workspace email on your domain with MX records, mailboxes, aliases, shared inboxes, and migration from your old provider where needed.

  • Sender and DNS audit

We identify every service that sends email for your domain and review your MX, SPF, DKIM, DMARC, and related DNS records for errors and gaps.

  • SPF, DKIM, and DMARC configuration

We fix SPF within lookup limits, enable DKIM signing for each sender, and publish a DMARC policy, aligning each service so it passes authentication.

  • Bulk sender compliance

We check your setup against Google and Yahoo bulk sender requirements, including authentication, one-click unsubscribe, and complaint monitoring through Google Postmaster Tools.

  • DMARC monitoring and enforcement

We set up DMARC report monitoring, review results, fix unauthenticated senders, and move the policy from none to quarantine and reject when it is safe.

  • BIMI and ongoing checks (optional)

Once DMARC is enforced, we can publish a BIMI record and guide you through the logo certificate, and run periodic checks so new tools do not break deliverability.

Benefits

Why it's worth doing properly

  • Emails that reach the inbox

Correct authentication removes one of the most common reasons legitimate business email lands in spam.

  • Harder to impersonate

An enforced DMARC policy makes it much harder for criminals to send fake emails that appear to come from your domain.

  • Ready for sender rules

Your setup meets the authentication requirements Google and Yahoo apply to bulk senders, reducing the risk of blocked campaigns.

  • Visibility over your domain

DMARC reports show who is sending email using your domain, so problems are spotted early.

Process

How the work runs

  1. STEP 01

    Assess your email and DNS

We review your DNS records, email provider, every sending service, and any delivery complaints or bounce messages.

  2. STEP 02

    Design the authentication plan

We plan the record changes, sender alignment, and DMARC rollout steps so nothing legitimate is blocked along the way.

  3. STEP 03

    Implement and verify

We update DNS, enable DKIM in each service, set up or migrate mailboxes, and verify authentication with test messages and header checks.

  4. STEP 04

    Monitor DMARC reports

We review DMARC and Postmaster data, fix new or misconfigured senders, and tighten the policy toward enforcement over time.

FAQ

Email & DNS Deliverability: common questions

Why are my emails going to spam?

Common causes include missing or broken SPF, DKIM, or DMARC records, sending tools that are not authenticated for your domain, a poor sending reputation, high complaint rates, or content and links that look suspicious. We start with the technical checks because they are the most common cause and the easiest to prove, then look at sending practices if needed.

What are SPF, DKIM, and DMARC in plain English?

SPF lists the servers allowed to send email for your domain. DKIM adds a digital signature that proves the message was not altered and came from an authorized sender. DMARC tells receiving mail servers what to do when a message fails those checks and sends you reports on who is using your domain. Together they help inboxes trust your mail.

What do the Google and Yahoo sender rules require?

Anyone sending to Gmail or Yahoo addresses should authenticate with SPF or DKIM. Bulk senders must use both SPF and DKIM, publish a DMARC policy, align the visible From domain, offer one-click unsubscribe in marketing email, and keep spam complaint rates low. We check your setup against the current published requirements and fix the gaps.

Will setting DMARC to reject block our real emails?

It can if done too early, which is why we do not start there. We begin with a monitoring policy, read the reports to find every legitimate sender, fix their authentication, and only then move to quarantine and reject in stages. That way real mail keeps flowing while spoofed mail is stopped.

Do you still set up business email?

Yes. Business email setup is part of this service. We set up Microsoft 365 or Google Workspace mailboxes on your domain, configure the DNS correctly from day one, and migrate existing email where needed. For wider Microsoft 365 or Google Workspace setup, such as file sharing, Teams, and device policies, see our Microsoft 365 and Google Workspace setup service.

How much does email deliverability work cost?

Cost depends on the number of domains, mailboxes, and sending services, whether email migration is needed, and whether you want ongoing DMARC monitoring. Email and monitoring subscriptions are separate. Book a free consultation and we will give you a clear quote.
