How pricing works: a custom plan, quoted after a free consultation

Every plan is quoted after a free consultation, because the right plan depends on which departments you need and how much work runs through them. There is no price list to pick from.

Departments are monthly services. Websites, online stores and custom web apps are quoted as projects. Either way, you get a written quote in US dollars before any work starts.

How a quote is built

Four things decide the quote

  • Which departments you need

Most clients start with one department and add more later. The consultation works out which one fixes the most pressing problem first: Front Desk for missed calls and enquiries, Sales Desk for lead follow-up and the CRM, Back Office for admin and bookkeeping, IT Desk for computers, email and security, Growth for websites, Google reviews and local SEO, or Private AI for an assistant that works from your own documents.

  • How much work runs through it

Within a department, the price depends on how much work there is. For Front Desk that means phone lines and locations, call and text volume, and whether you want the AI receptionist or live backup. For Sales Desk it is the depth of the CRM setup and automations, how many reactivation campaigns you want each year, and how many calling hours you want from our team. For Back Office it is the number of workflows, assistant hours and bookkeeping transaction volume. IT Desk is billed per user, with a five-user minimum, and the cover you choose sets what each user gets. For Growth it is how many pages, posts and website hours you want each month. For Private AI it is the number of users and documents, and whether it runs on your own server or a dedicated hosted one.

  • Monthly service or project

Departments are billed monthly and include monitoring and improvements; setup is quoted as its own line. Websites, online stores and custom web apps are quoted as projects, with ongoing support quoted alongside if you want it; each project comes with a written scope, training and handover documentation. Private AI is the exception among the departments: the installation is quoted as a project and the ongoing management is monthly. One-off work such as a bookkeeping catch-up, a CRM migration or a data-entry backlog is quoted separately too.

  • What the written quote contains

After the consultation you get a short written plan in plain language. It names the department and the scope, lists what is included and the limits that apply, such as included usage, workflow counts or assistant hours, shows the setup and the monthly fee separately, lists what is billed at cost, and states the contract term. Nothing starts until you approve it.

The terms

What is included, what is billed at cost, and how the contract works

  • What every plan includes

Setup and testing by our team (shown as its own line in your quote), your accounts in your name, monitoring, monthly improvements and a monthly report. Support hours and response times are set out in your service agreement before we start.

  • What is billed separately

Five things sit outside the monthly fee: phone and text usage above your plan's allowance, AI usage above the limit in your plan, ad spend, software licences and hardware. They are billed at cost or as stated in your quote, and third-party licences such as Microsoft 365 and Google Workspace can stay on your own accounts. Your quote lists each of them.

  • Three months, then month to month

The first three months are a fixed term. After that the plan runs month to month, and changes take effect at the next billing date.

  • You own your accounts, numbers and data

Everything is set up in your name: phone numbers, CRM and automation accounts, website, domain and hosting, ad accounts and your books. We work in them with our own named logins, limited to what each task needs, and access is removed when the work ends. Nothing is locked to us, so you keep it all if you leave.

FAQ

Pricing questions

Onboarding questions are answered on How we work.

Is the first call free?

Yes. The consultation is free, takes about 15 minutes and carries no obligation. The written plan and quote we send afterwards are free too.

Can I change plans?

Yes, at the next billing date. You can widen or narrow the scope, add a department, or add and remove IT Desk users as your team changes.

Which currency are quotes in?

US dollars, wherever you are.

Do you charge a setup fee?

Yes. Setup is a separate line in your quote next to the monthly fee, so you see both before you approve the plan. Websites, stores and web apps have no setup line; the project quote covers the build, and ongoing support is quoted alongside if you want it.

Is there a minimum team size for IT Desk?

Yes. IT Desk is billed per user, with a five-user minimum. The other departments are priced by volume, such as calls, workflows or assistant hours, rather than by headcount.

What happens after I request a plan?

A person reads your message and books the consultation. On the call we work out which department to start with and how much work runs through it. You then get the written plan and quote, and there is no obligation to go ahead.
