Front Desk, Admin & IT for Healthcare Practices
Clinics, dental offices, therapy practices and other healthcare providers depend on technology for almost everything: booking appointments, keeping records, billing, messaging patients and running the front desk. When a workstation fails, email is compromised or the scheduling system goes down, patients wait and staff fall behind. Small practices rarely have an in-house IT team, so these problems often land on a practice manager who already has a full day.
We provide remote IT support, security safeguards and practical automation for healthcare practices. That includes securing devices and accounts, setting up encrypted cloud storage and backups, configuring Microsoft 365 or Google Workspace properly, and automating repetitive admin such as appointment reminders, intake forms and data entry. Every support request is logged, tracked and owned by a named person, and support hours and response times are set out in your service agreement.
Patient-data rules differ by country. In the US, practices handling protected health information must follow HIPAA, while in the UK health data is special category data under UK GDPR. Other markets have their own requirements. We help implement technical safeguards such as access controls, encryption, multi-factor authentication, audit logging and backups that support your compliance program, but we do not provide legal advice or guarantee compliance. Your legal or compliance advisor should confirm what applies to your practice.
Challenges
What gets in the way
Protecting patient data
Shared logins, unencrypted laptops, weak email security and staff who were never trained to spot phishing put sensitive patient information at real risk of exposure.
Admin work crowding out care
Front desk and clinical staff spend hours on reminder calls, re-typing intake forms, chasing paperwork and updating spreadsheets that could be handled automatically.
Downtime that stops the day
When the network, printer, scheduling system or a key workstation fails, appointments back up and there is often no one available to fix it quickly.
Disconnected systems
Practice management software, email, phone systems, forms and billing tools often do not talk to each other, so information is copied by hand and mistakes creep in.
How we help
What we put in place
Technical security safeguards
Multi-factor authentication, role-based access, device encryption, endpoint protection, secure email settings and staff phishing awareness, set up to support the requirements your compliance advisor identifies.
Secure cloud and backups
Properly configured Microsoft 365 or Google Workspace, encrypted file storage with sensible sharing rules, and automated, tested backups so records can be restored after a failure or ransomware incident.
Appointment and intake automation
Automated reminders, online intake forms that feed your systems directly, and follow-up messages, built with care so patient information only flows to approved, secured tools.
Remote IT support
Help for staff with logins, devices, printers, email and software issues during agreed support hours, with every request logged, tracked and owned by a named person.
Virtual reception and back-office help
Trained virtual receptionists for call handling and booking, and back-office support for data entry and admin tasks, working within the access and processes you define.

FAQ
Common questions
Can you make our practice HIPAA or UK GDPR compliant?
No provider can make you compliant on its own, and we do not provide legal advice. Compliance covers policies, training, contracts and risk assessments as well as technology. What we do is implement technical safeguards such as encryption, access controls, multi-factor authentication, logging and backups that support your compliance program. Your legal or compliance advisor should confirm what your practice needs.
Do you work with our existing practice management software?
In most cases, yes. We support the devices, network, accounts and cloud services around your existing system, and where it offers an API or integration options, we can connect it to forms, reminders or reporting. We do not replace clinical software unless you ask us to, and we work with your software vendor when issues sit on their side.
What happens if something breaks?
Every support request is logged, tracked and owned by a named person, and support hours and response times are set out in your service agreement. Most issues, such as login problems, email trouble, slow computers or printer faults, can be handled remotely. For problems that need someone on site, we help coordinate with local hardware vendors or your building's provider while we work on everything that can be fixed remotely.
Is it safe to automate tasks that involve patient information?
It can be, when it is designed carefully. We map exactly what data each automation touches, keep patient information within approved and secured systems, apply least-privilege access, and avoid sending sensitive details through tools that are not set up for it. Where a vendor agreement such as a business associate agreement is required, you should have it in place first.
Can you support practices outside the US and UK?
Yes. We work remotely with healthcare providers worldwide. Data protection rules vary between countries, so we start by understanding the requirements your advisors have identified and then configure systems to support them, such as data storage location, access controls and retention settings.
