IT & Security for Financial Services Firms

Accounting firms, financial advisers, small lenders and insurance brokers handle exactly the kind of information criminals want: tax records, bank details, identity documents and account access. At the same time, most of these firms are small teams without an in-house IT department, juggling client portals, email, document storage and a growing list of software subscriptions during busy seasons.

We provide remote IT support, security safeguards and practical automation for financial services firms. That includes locking down Microsoft 365 or Google Workspace, enforcing multi-factor authentication, securing devices and email, setting up encrypted document storage and tested backups, and automating repetitive work such as client onboarding, document collection and reminders. Every support request is logged, tracked and owned by a named person, and support hours and response times are set out in your service agreement.

Expectations differ by market. In the US, many financial firms fall under the Gramm-Leach-Bliley Act and the FTC Safeguards Rule, which call for a written information security program and specific technical controls. In the UK, FCA-regulated firms are expected to manage operational and cyber risk, and client data is covered by UK GDPR. Other markets have their own regulators and rules. We implement technical controls that support your compliance program, but we do not provide legal or regulatory advice or guarantee compliance; your compliance advisor should confirm what applies to your firm.

Challenges

What gets in the way

  • Email fraud and account takeover

Phishing, fake invoice requests and compromised mailboxes are a constant risk for firms that move money or handle bank details, and a single stolen password can expose many clients.

  • Sensitive documents everywhere

Tax returns, statements and ID documents end up in inboxes, desktops, USB drives and personal cloud accounts, with no clear control over who can see them or how long they are kept.

  • Regulatory and insurer expectations

Regulators, auditors and cyber insurers increasingly ask about multi-factor authentication, encryption, access reviews, logging and incident plans, and small firms often struggle to show what is in place.

  • Seasonal admin overload

Onboarding new clients, chasing missing documents and sending reminders take up staff time, especially around tax deadlines and renewal periods.

How we help

What we put in place

  • Technical security safeguards

Multi-factor authentication, conditional access, device encryption, endpoint protection, email filtering and phishing awareness, set up to support the controls your compliance advisor identifies.

  • Secure document storage and sharing

Properly structured cloud storage with permission rules, secure client file sharing instead of email attachments, retention settings and automated, tested backups.

  • Evidence and documentation

Clear records of the security controls in place, user access lists and configuration notes, so it is easier to answer questions from auditors, regulators and insurers.

  • Onboarding and document automation

Automated client intake forms, document request and reminder flows, and CRM updates, designed so sensitive information only moves through approved, secured tools.

  • Private AI for sensitive work

Where AI can help with drafting or summarizing, we can set up tools that keep client data within systems you control, rather than pasting it into public chatbots.

FAQ

Common questions

Can you make us compliant with the FTC Safeguards Rule or FCA requirements?

No provider can make a firm compliant on its own, and we do not give legal or regulatory advice. Compliance includes governance, policies, risk assessments, vendor oversight and training as well as technology. We implement and document technical controls such as multi-factor authentication, encryption, access controls, logging and backups that support your program, and your compliance advisor should confirm what your firm needs.

Do you work with our accounting, tax or practice software?

In most cases, yes. We support the devices, accounts, network and cloud services around your existing software and work with the vendor when an issue sits on their side. Where the software offers integrations or an API, we can connect it to intake forms, document collection or reporting.

Is it safe to use AI tools with client financial data?

It depends on the tool and how it is configured. Many public AI services are not appropriate for confidential client data. We help you choose tools with suitable data handling terms, apply access controls, or set up private AI that runs within systems you control, and we recommend writing a clear staff policy on what can and cannot be shared.

What happens if a staff mailbox is compromised?

We help contain it quickly: resetting credentials, revoking sessions, removing malicious mail rules, reviewing sign-in logs and checking what was accessed. Afterwards we tighten the controls that let it happen. Depending on what was exposed, you may have notification duties, so you should involve your compliance advisor or legal counsel promptly.

Do you support firms outside the US and UK?

Yes. We work remotely with accounting and financial firms in Canada, Australia, New Zealand and across Europe. Requirements vary by country and regulator, so we start from what your advisors have identified and configure systems to support it, including data location, access and retention settings.
