IT & Automation for Schools and Training Providers

Private schools, training centers, tutoring businesses and online course creators all depend on technology to enroll students, deliver lessons, take payments and keep families and learners informed. Most do not have a dedicated IT team, so accounts, devices, Wi-Fi, learning platforms and websites are often managed by a teacher or administrator in between everything else.

We help education businesses run reliable, secure systems and cut down on admin. That includes setting up Google Workspace for Education or Microsoft 365 with sensible account and sharing rules, securing staff and student devices, building separate staff, student and guest Wi-Fi, creating websites and enrollment forms, and automating bookings, reminders, payments follow-up and course access. Every support request is logged, tracked and owned by a named person, and support hours and response times are set out in your service agreement.

Student records, and children's data in particular, need careful handling. In the US, schools that receive federal funding must follow FERPA for education records, and in the UK, student and children's data is covered by UK GDPR, with extra expectations for services used by children. Other countries have their own rules. We implement technical safeguards such as access controls, multi-factor authentication for staff, sensible sharing settings and backups that support your obligations, but we do not provide legal advice or guarantee compliance.

Challenges

What gets in the way

  • Protecting student and family data

Shared staff logins, documents shared with anyone who has the link and personal devices used for school work make it easy for student records and contact details to leak.

  • Enrollment and booking admin

Inquiries, enrollment forms, class bookings, reminders and payment follow-ups are often handled by email and spreadsheets, which takes time and lets families slip through the cracks.

  • Unreliable Wi-Fi and devices

Classrooms full of laptops and tablets strain networks that were never designed for them, and lessons stall when devices or Wi-Fi fail.

  • Too many disconnected tools

Learning platforms, payment tools, websites, email lists and video tools each hold part of the picture, so staff copy information between them by hand.

How we help

What we put in place

  • Well-configured accounts and sharing

Google Workspace or Microsoft 365 set up with separate staff and student accounts, multi-factor authentication for staff, sensible sharing defaults and age-appropriate restrictions.

  • Separate staff, student and guest networks

Wi-Fi designed for classroom density, with separate networks for staff, students and visitors, content filtering where needed and firewall rules that keep admin systems protected.

  • Enrollment, booking and reminder automation

Online inquiry and enrollment forms, class and lesson booking, automated reminders and payment follow-ups that feed into your CRM or student records.

  • Websites and course platforms

Clear, fast websites for schools and training providers, and setup or integration of course platforms so learners get access automatically after enrolling or paying.

  • Remote IT support

Help for staff with accounts, devices, printers, classroom tech and software during agreed support hours, with every request logged, tracked and owned by a named person.

FAQ

Common questions

Can you make our school FERPA or UK GDPR compliant?

No provider can do that on its own, and we do not provide legal advice. Compliance depends on your policies, consent processes, contracts with vendors and staff training as well as technology. We set up technical safeguards such as access controls, multi-factor authentication, sharing restrictions, retention settings and backups that support your obligations, and your legal or data protection advisor should confirm what applies.

Do you work with small tutoring businesses and solo course creators?

Yes. Smaller education businesses often benefit most from a simple, well-connected setup: a clear website, an online booking or enrollment form, automated reminders and payments, and a course platform that grants access automatically. We scope work to fit the size of the business.

Can you set up separate accounts for staff and students?

Yes. We structure accounts and groups so staff and students have different permissions, restrict what students can share externally, and apply multi-factor authentication for staff accounts that can access records. We also document how to add and remove users at the start and end of each term.

Can you automate enrollment and reminders without exposing student data?

Yes, with careful design. We map what data each automation touches, keep it within approved tools, limit who can see it and avoid collecting more than you need. For services aimed at children, we keep data collection to a minimum and recommend you confirm consent requirements with your advisor.

Do you support schools and training providers outside the US and UK?

Yes. We work remotely with education providers in Canada, Australia, New Zealand and across Europe. Rules for student and children's data vary by country, so we start from your local requirements and configure systems to support them.
